Platform. When your organization uses BuildingHub, we process data on its behalf, which may include: account details (name, email, role); work orders and maintenance records; vendor records and certificates of insurance; visitor and access logs; amenity bookings and payments; and messages sent through the platform (email and SMS).
Automatically. Standard technical data such as IP address, browser type, and usage events, used for security and to improve the Services.
3. How we use data
To provide and secure the Services; to respond to demo and sales enquiries; to send service notifications your organization has configured (including SMS you have opted into); to bill for the Services; to comply with legal obligations; and, with consent where required, to tell you about product updates. We do not sell personal information.
4. Sharing
We share data with service providers that help us run the Services, such as hosting infrastructure, payment processing (Stripe), SMS delivery (Twilio), email delivery (Mailgun), website analytics (Google Analytics) and the building systems your organization connects (such as Yardi, Genea, LenelS2, HID, Apple Wallet, Amano McGann). These providers process data under contracts limiting use to providing their service. We may also disclose data to comply with law or protect rights, and in connection with a corporate transaction with notice to affected users.
5. Roles
For platform data, BuildingHub generally acts as a processor/service provider on behalf of the property organization that is our customer; that organization controls the purposes of processing. If you are a tenant, visitor or vendor with questions about data your building holds, contact your building management, and we will support their response.
6. Retention
We retain platform data for the duration of the customer’s subscription and, following termination, for a wind-down period during which the customer may export it (see Terms). Marketing enquiries are retained while relevant to the relationship. Backups roll off on a fixed schedule.
7. Your rights
Depending on your location, you may have rights to access, correct, delete or restrict the processing of your personal information, and to object to certain processing. To exercise these rights, contact support@buildinghub.io. If your data is controlled by a building organization, we will route your request to them where required.
8. Security
We use administrative, technical and physical safeguards appropriate to the sensitivity of the data, including encryption in transit, role-based access controls and audit logging. No system is perfectly secure; report concerns to support@buildinghub.io.
9. Cookies & analytics
The marketing site uses Google Analytics to understand how visitors find and use it: which pages are viewed, how a visitor arrived (for example from a search engine or a link), approximate location, and device and browser type. Google Analytics sets first-party cookies (_ga and _ga_*) to recognize a returning browser. We do not use it for advertising, Google signals and ad personalization are switched off in the site’s tag, and we do not send Google your name, email address or anything you type into a form.
Visitors in the European Economic Area, the United Kingdom and Switzerland do not receive analytics cookies. For those visitors the site sends Google Analytics measurements without a cookie or any identifier that recognizes a returning browser.
You can block these cookies in your browser settings or with Google’s opt-out add-on at tools.google.com/dlpage/gaoptout. How Google uses this data is described at policies.google.com/technologies/partner-sites. Apart from analytics, the site stores only what it needs to work, such as your light or dark theme choice.
10. Children
The Services are not directed to children under 16, and we do not knowingly collect their personal information.
11. Changes
We will post updates to this policy here and revise the “Last updated” date. Material changes will be notified through the Services or by email.
